Terms of Service
Last updated: 13 October 2026
1. About these terms
- These terms apply to the ProveMyMiles website and web application (the "App"), available at provemymiles.co.uk.
- The App is provided by Rafał Jaworski, trading as PapaRaf Hub, a sole trader based in Shepton Mallet, Somerset, England, United Kingdom ("we", "us"). Contact: hello@provemymiles.co.uk.
- By buying a licence or using the App, you accept these terms. Payment terms are also governed by the terms of Payhip, our reseller (see section 5).
2. What the App does
- The App helps you rebuild past business journeys from evidence you already have, such as bank statements, calendar entries, receipts and invoices. It proposes trips, and you review, edit, approve or reject each one. It then produces a mileage log and export files for accounting software.
- The App only proposes trips that it can link to a piece of evidence you provided. A log made with the App is labelled as reconstructed from evidence.
- Your evidence files are processed in your own browser and are not uploaded to us. See the Privacy Policy.
3. Not tax advice; you are responsible for your claim
- The App is a record-keeping tool. It does not give tax, accounting or legal advice, and it does not decide what you may claim.
- You are responsible for checking every entry, for making sure each journey actually took place and was for business, and for what you submit to HMRC, your employer or your accountant. Do not approve a trip you cannot stand behind.
- Proposed routes, distances, purposes and confidence levels are estimates. Distances are based on map data and may differ from the route you actually drove.
- We apply the HMRC approved mileage rates for each tax year as published when the App's rules were last updated. We do not guarantee that HMRC, your employer or any other party will accept your log or claim. If you are unsure, ask a qualified accountant or tax adviser.
4. Licences
- Founding licence (£29). Covers the tax years 2025/26, 2026/27 and 2027/28. It includes updates to rates, rules and export formats until 30 April 2028.
- Standard licence (£49, after the founding offer ends). Covers the tax years listed at the time of purchase. It includes updates for 12 months from the date of purchase.
- Lifetime use. Your licence does not expire. After the update period ends, the App keeps working for the tax years your licence covers, with the rules and formats it had at that point. Later tax years and later updates may be offered as optional paid add-ons.
- Devices. You can activate your licence on up to 3 of your own devices or browsers. Clearing browser data or changing device may require you to activate again. You can download a licence file to restore access without contacting us.
- The licence is for your own use, or for the use of your own business. It may not be resold, shared publicly or used to process records for other people or businesses. Licences for accountants and bookkeepers working for clients will be offered separately.
5. Buying and paying
- Payments are taken through Payhip. For sales of digital products to customers in the UK and EU, Payhip acts as our reseller and is responsible for collecting and paying VAT. Payhip and its payment processors (Stripe or PayPal) handle your payment and receipt under their own terms.
- Prices are shown in pounds sterling. The £29 price includes UK VAT at 20%. Payhip works out VAT at checkout, so the total may be slightly different if you buy from outside the UK.
6. Pre-orders
- Before the App is released, licences are sold as pre-orders. You receive your licence key by email straight after purchase. We will email you the link to the App when early access opens, which we currently plan for December 2026. The licence key cannot be activated before then.
- Until you activate your licence, you can cancel your pre-order for a full refund for any reason. Email us with your order number.
- If we have not opened early access by 31 January 2027, we will email you. You can then choose to keep your pre-order or receive a full refund. If we decide not to release the App, we will refund every pre-order in full.
7. Your right to cancel
- As a consumer, you normally have 14 days to cancel a contract for digital content. That right ends once you start using the content, if you have given your express consent to immediate access and acknowledged that you lose the right to cancel.
- When you activate your licence, the App will ask you to confirm both of these points. Activation starts the supply of the digital content.
- This does not affect your statutory rights. If the App is faulty or not as described, you are entitled to a repair, a replacement or a refund under the Consumer Rights Act 2015. See our Refund Policy.
8. Using the App
- The App needs an up-to-date desktop or laptop browser. Some features (such as reading receipt photos) depend on file quality and may not always be accurate.
- Your data is stored in your browser. You are responsible for exporting and keeping copies of your logs. We cannot recover data deleted from your device.
- We take reasonable care to keep the App working and accurate but cannot promise it will be uninterrupted or error-free.
9. Our liability
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.
- We are not responsible for tax, penalties, interest or losses that result from information you approved or submitted, or from decisions made by HMRC or another party.
- Otherwise, our total liability to you in connection with the App is limited to the price you paid for your licence.
10. Intellectual property
The App, its code, design, rules and the name "ProveMyMiles" belong to us. You may not copy, modify, reverse engineer or redistribute the App, except as allowed by law.
11. Complaints
Send any complaint to hello@provemymiles.co.uk with a description of the problem. We aim to reply within 14 days.
12. Changes and law
- We may update these terms. Changes do not reduce what your existing licence covers.
- These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your home courts.
